Monthly SEO Report Template: What Reddit Says Clients Read
A monthly SEO report should answer one question fast, whether the SEO is working, then show the work behind it. Agency owners on Reddit say most clients skip the dashboard and read a quick summary. So this monthly SEO report template, built from those Reddit threads, puts the answer first and the details last.

- 10-part template

The quick version
More people found Cedar Ridge in Google this month. Call button taps rose 15%, mostly from brake repair searches. Clicks dipped for three days after a Google update, then came back.
How We Read Reddit
We read agency owner threads on r/agency and r/DigitalMarketing from November 2024 to October 2026. We skipped any post from a vendor trying to sell something, since those don't tell you what owners really think. Lumea Direct wrote this page, and since Lumea is new, you won't see it named in these threads yet. We built it to fix the problems these owners keep bringing up, and every thread is linked at the bottom.
What Do Clients Read in a Monthly SEO Report?
Clients read the top of the report and the work you did, and most of them stop there. Owners in an r/agency thread about reporting tools said many small clients never log into the dashboards agencies build. They'd rather get a quick summary or a brief Loom video.
More people found you in Google this month, and call button taps rose 15%. Most came from brake repair searches.
Clicks dipped for three days after a Google update, then came back. Nothing on your site caused it.

Why Do Monthly SEO Reports Take So Long to Build?
Most of the time goes into pulling numbers from different tools and writing the summary by hand. One owner on r/DigitalMarketing spent 4 hours building a single client report, between collecting data, grabbing screenshots and formatting it all.
Owners in the same thread named Search Console, Google Analytics, Semrush, Ahrefs, Google Docs and Looker Studio as the tools they pull from. A fixed template cuts the formatting time, since every month starts from the same layout and you fill in the numbers.

The 10-Part Monthly SEO Report Template
This template puts the parts clients read at the top and the details at the bottom. Each part has one job, so you can skip any part a client doesn't need without breaking the flow.
| Part | What goes in it | Why it's there |
|---|---|---|
| 1Month at a glance | Four numbers: times they showed up in Google, clicks to the site, actions taken and leads | Most clients stop reading here, so the answer goes first |
| 2The quick version | Three or four plain sentences on what went up, what went down and why | Owners on Reddit say clients read a summary before anything else |
| 3Win of the month | One standout number in its own box, like calls, direction requests or new reviews | Clients remember one thing, so you choose what it is |
| 4What we did | Every page, post, GBP update, citation, backlink, schema fix and site fix, each with a live link | Clients forget what they pay for, and this is where they see it |
| 5Where people found you | 4 to 6 screenshots of real searches with the client's listing boxed | A picture of the client in Google lands faster than any chart |
| 6Your Google listing | GBP call button taps, direction requests and website clicks | For a local business, these are the closest thing to a lead Google gives you |
| 7Your website in Google | Search Console clicks, top searches and top pages | The client sees the words people typed to find them |
| 8Compared to last year | The same numbers next to the same month last year | One month alone hides seasonal swings |
| 9Next month's plan | Two or three goals with target numbers and the work planned | A client who sees a plan doesn't shop around |
| 10Full numbers | Detailed tables, folded away at the bottom | Anyone who wants details can find them without burying everyone else |
Keep every label in plain words, since most clients don't know what an impression is. Say "times you showed up in Google" instead, and put one sentence on what it means next to every chart.

What Are the Honest Reporting Rules?
Clients check your numbers more often than you'd think, and one stretched stat can undo a year of good work. These four rules keep the report honest every month.
- Show a drop when it happens, say what caused it and say what you're doing about it next month.
- Call a tap on the GBP call button a "call button tap," since Google can't tell you if anyone picked up.
- Label any traffic number from Semrush or Ahrefs as an estimate, and keep it out of charts with Google's own numbers.
- Show the year-over-year comparison even when it's down, since leaving it out looks like hiding something.
Clients forgive a drop they understand, so explain it in the report before they spot it on their own. Our guide on how to explain a bad SEO month to a client covers the conversation in detail.
What Should You Leave Out of a Monthly SEO Report?
Leave out anything the client can't act on, since a long report gets skipped. Cut charts with no plain-words meaning, keyword tables with 40 rows and SEO terms with no explanation next to them.
Show the 5 keywords the client cares about instead of every keyword you track. If a number doesn't help the client decide something or trust the work, fold it away at the bottom or cut it.
- A chart with no plain-words meaning
- A keyword table with 40 rows
- "CTR" and "SERP" with no explanation

Should You Use a Template or Reporting Software?
A template in Google Docs or Looker Studio works when you have a handful of clients and time to fill it in. Past 5 or 6 clients the hours add up, since a hand-built report takes about 35 minutes in our own agency.
Our page on Looker Studio templates vs. reporting software runs the time math side by side. Our page on the best SEO client reporting tools covers what owners on Reddit use and what each one costs.

How Does Lumea Build This Report for You?
Lumea has two ways to build this report, depending on whether you want reports only or the whole agency in one place. Both follow the same layout as the template above.
Lumea Reports, free for 1 client
Lumea Reports is our report-only app. You upload screenshots, CSVs and PDFs from GBP, Search Console, Google Analytics, Semrush and map grid tools, then check every number. You get a branded report with a month at a glance, a win of the month and every work item explained in plain words, free for 1 client every month.
Lumea Direct, for the whole agency
Lumea Direct builds each report from your team's finished work and Google numbers, since it already runs your monthly deliverables. Search Console and Google Analytics pull in every night, and every finished item shows up with its live link. A slow month shows a gray arrow instead of red, and a report takes about 5 minutes instead of 35 by hand. See every screen on our SEO client reporting page.
Your monthly report, built from the work your team already did.
Lumea Direct is SEO agency software built for small SEO agencies. It runs clients, team time, and content plans in one place and shows which clients make money.
Frequently Asked Questions
What should a monthly SEO report include?
Include a month at a glance, a plain-words summary and the work you did with live links. Add GBP and Search Console numbers, a comparison to last year and next month's plan. Put the detailed tables at the bottom where they don't slow anyone down.
How long should a monthly SEO report be?
Keep the part clients read to one or two screens, with the full numbers folded away below. Owners on Reddit say many clients only read the summary, so the top of the report does most of the work.
Should I send a dashboard or a report?
Many small clients don't log into dashboards, according to owners in the r/agency reporting thread. A report you send each month, with a quick summary on top, gets read more often.
Is there a free monthly SEO report template?
The 10-part layout on this page is free to copy into Google Docs or Looker Studio. If you'd rather not build it by hand, Lumea Reports builds the same layout free for 1 client every month.
