This guide compares marketing agency software with SEO agency software, and shows where each one fits. You’ll get named tools and prices checked on September 28, 2026. Michael Gleed wrote it. He runs his own SEO agency on Lumea Direct, the software he built for the business side.

Marketing agency software is built for campaigns with a start date and an end date. SEO runs every month on a retainer. A general tool can hold SEO work after setup, and it still won’t show which clients eat your team’s week. Your busiest client might be your worst client.

What Is Marketing Agency Software?

Marketing agency software is any tool an agency uses to plan, deliver, and bill client work across channels. Most of it is project management built for campaigns, creative reviews, and budgets. Nearly all of it charges per user, from about $9 to $25 a month per person.

Teamwork, Wrike, and Productive sit near the top of most lists. The retainer and profit tools sit on higher plans.

Teamwork

Teamwork sells project management for client work. Basics is $9.99 per user a month billed yearly, with a 3-user minimum. Retainers start on Accelerate at $24.99 per user, with a 5-user minimum. Profit by client sits on Optimize, priced by quote. SEO packages and topical maps still need setting up by hand.

Wrike

Wrike is work management for marketing, creative, and operations teams. Its Team plan is $10 per user a month billed yearly, for 2 to 15 users. Budgets and advanced time tracking sit on Pinnacle, priced by quote. It has no SEO service tiers or topical maps built in.

Productive

Productive is agency management software for agencies and consultancies. Essential is $9 per user a month billed yearly, or $10 monthly, with a 3-seat minimum. Recurring budgets for retainers start on Professional at $24 per user. It has nothing built for monthly SEO work.

What Is SEO Agency Software?

SEO agency software runs the business side of an SEO agency. It holds the monthly plan, the work, the hours, the report, and the profit on each client. Lumea Direct is built for this job, priced by client count from $143 a month with unlimited seats.

It pairs with your research tool. Lumea doesn’t crawl sites or track keywords, so Semrush or Ahrefs stays. Here’s the full tour of Lumea’s SEO agency management software.

How Is SEO Work Different From Campaign Work?

SEO work repeats every month on a flat fee, and the results show up months later. A campaign ends, and people judge it on the launch. Five differences change what your software has to do:

  • The work repeats by service tier. Page optimizations, GBP posts, citations, and the report come back every month.
  • A topical map plans pages across many months, one silo at a time.
  • The work spans content, GBP work, citations and backlinks, schema, reports, and ad hoc fixes.
  • Rankings lag the work, so each month needs proof of what got done.
  • The fee stays flat while the hours move from month to month.

A campaign tool treats each of these as a new project. You rebuild the same tasks every month. On a retainer, hours over budget come out of your margin, and nobody sends you a bill.

Where Do General Marketing Tools Miss SEO Work?

General marketing agency management software misses three SEO jobs. They’re service tiers, topical maps, and profit on a flat retainer. You can build the first two by hand. The third needs hours tied to each client and a salary cost behind each hour.

Setup is the hidden price. An owner spends weekends building templates for packages, recurring tasks, and a map tracker. In Lumea, planning a client’s month takes about 10 minutes, down from 30 to 40 by hand. See how SEO project management works in Lumea.

How Much Does Each Option Cost for a 4-Person Team?

A 4-person team pays about $36 to $125 a month for a general tool, billed yearly, before any SEO setup. Lumea Growth covers 4 to 8 clients for $242 a month, or about $194 billed yearly. Lumea isn’t the cheapest line item.

Per-user pricing grows with every hire. Add a part-time writer and a VA, and the bill goes up twice. Lumea’s price moves only when your client count crosses a plan line.

The gap pays back in hours. Planning takes 10 minutes per client, and a client report takes 5 minutes, down from 35. See every plan on the Lumea Direct pricing page.

Can You See Where Every SEO Client Stands?

In Lumea, yes. The Deliverables page shows every client’s month on one screen. Each client gets a percent done, a pace line, and an owner on every item. Pace counts working days. By the 10th, you’ll know who’s on pace, who’s behind, and who has nothing done.

In a campaign tool, you’d open 8 projects to answer the same question. A client asks how the month is going, and you answer in one click.

Which Clients Make You Money on a Flat Retainer?

The clients with the fewest hours per dollar make you money. Time tracked by client is how you find them. Take two clients at $1,700 a month. One takes 40 hours and earns $42 an hour of team time. The other takes 6 hours and earns $283 an hour.

Same fee, same package, and a gap of nearly 7 to 1. Few general tools put the cost of those hours against a flat fee, with salaried staff counted in.

Lumea counts salaried time at annual salary divided by 2,080 hours, so a $52,000 salary costs $25 an hour. Open Reports, then the Team tab, and read the Client profit column.

Who Is Lumea Direct For?

Lumea Direct is for SEO agencies on monthly retainers, from 1 client to 9 or more. Starter covers up to 3 clients for $143 a month. Growth covers 4 to 8 for $242, and Unlimited covers 9 or more for $494. Every plan includes unlimited seats. A business doing its own SEO uses Solo at $98.

It fits best when one account holds the whole month. Your team plans the deliverables, logs the hours, and sends the report in the same place.

When Does an SEO Agency Outgrow General Marketing Tools?

An SEO agency outgrows a general tool when the month no longer fits in the owner’s head. Five signs show up first:

  • You rebuild the same recurring tasks every month.
  • You can’t say which client is behind without asking someone.
  • The topical map lives in one sheet, and the tasks live somewhere else.
  • The monthly report takes 35 minutes per client, copied by hand.
  • Profit per client takes a weekend, or never gets done.

Two or more of these, and the tool costs you more than its price. Start with one client, import its topical map, and run one month in Lumea next to your current tool.

Run the Agency Around the Monthly Work

Michael Gleed built Lumea Direct inside his own SEO agency. For years, his client facts sat across Drive, Docs, and Sheets. It shows what campaign tools don’t: where each client stands, where the hours went, and which clients make money.

Questions About Marketing Agency Software

What’s the difference between a marketing agency and an SEO agency?

A marketing agency runs campaigns across several channels, like ads, email, social, and design. An SEO agency works on search, month after month. The Labor Department’s O*NET profile covers search marketing strategists. It describes the job as raising search visibility and measuring results to keep improving.

How long does SEO take to show results?

SEO results usually take months to show in rankings, which is why monthly proof matters. Google’s guide to hiring an SEO tells owners to ask what results to expect, and in what timeframe. It also says nobody can promise a first-place ranking.

How do you prove SEO work to a client each month?

Show the work done and the search numbers behind it. Google Search Console’s Performance report shows clicks, impressions, click-through rate, and average position. Its default view covers the past three months. Lumea’s client report pulls those numbers and lists the month’s finished items with live links.

Can an SEO agency use a general project management tool?

Yes, and many agencies start there. The gap shows when you try to see money by client. The SBA’s guide to managing your business suggests analyzing each segment of a business on its own. For an agency, each client is a segment. A general tool rarely holds the fee, the hours, and the salary cost in one place.
