This guide covers the best SEO agency software for each job an agency owner pays for. You’ll get named tools for research, reporting, delivery, and money, with prices checked on September 28, 2026. Michael Gleed wrote it. He runs his own SEO agency on Lumea Direct, the software he built for the business side.
Most “best SEO agency software” lists are really lists of ranking tools. They’ll help you win keywords, and they won’t tell you which clients eat your team’s week. The fear is quiet. You pay for five tools and still can’t say which accounts make money. Your busiest client might be your worst client.
What Is SEO Agency Software?
SEO agency software is any tool an agency uses to win, deliver, report on, and profit from SEO clients. It covers four jobs: research and rank tracking, client reporting, monthly delivery, and money. Most agencies with 8 clients pay for three or four tools to cover them.
The first two jobs get the attention, since the companies selling them also write the lists. Semrush, Ahrefs, and SE Ranking fill the top of every roundup. The last two jobs get skipped, and they’re where an agency makes money or leaks it.
Lumea Direct is SEO agency management software built for the last two jobs, plus client reports. It doesn’t track rankings or crawl sites, so you keep your research tool. What it adds is one place for the month’s work, the hours behind it, and the profit on each client.
What Software Does an SEO Agency Need?
An SEO agency needs one tool for each of four jobs, and a few tools cover two. An 8-client agency often runs a research tool, a reporting tool, a project tool, and a spreadsheet for money. Here’s the stack by job, with the names you’ll see most:
- Research and rank tracking: Semrush, Ahrefs, SE Ranking, and Google Search Console, which is free
- Client reporting: AgencyAnalytics, Whatagraph, Databox, or the client report in Lumea
- Monthly delivery: ClickUp, monday.com, Teamwork, or Lumea’s deliverables built on SEO service tiers
- Money, hours, and profit per client: Lumea, Productive, Workspace369, or a spreadsheet and your weekend
Each section below covers one job, starting with the tools you already know. The price table near the end adds them up for an 8-client agency. You’ll see the real monthly cost before you pick anything.

What Are the Best SEO Research and Rank Tracking Tools for Agencies?
The best SEO research tools for agencies are Semrush and Ahrefs, with Google Search Console as the free base. Semrush’s SEO plan is $139 a month, and Ahrefs Lite is $129 a month, both billed monthly. Every agency needs one of them, and Lumea doesn’t replace either.
Semrush and Ahrefs both cover keyword research, backlinks, site audits, and rank tracking. Semrush reaches wider into content and local tools on higher plans. Ahrefs is known for its backlink index. Pick the one your team knows, since switching costs more than the price gap. Google Search Console is free, and Lumea’s client report pulls from it.
What Is the Best SEO Reporting Software for Agencies?
The best SEO reporting software depends on how many channels you report on. AgencyAnalytics is $20 per client a month billed yearly, with SEO, ads, and social in branded dashboards. If you report only on SEO work, Lumea’s client report takes about 5 minutes, down from 35 by hand.
Reporting tools answer what happened for the client. They don’t answer what the client cost you, which is why most agencies pair one with a spreadsheet. The three below are the names owners compare most.
AgencyAnalytics
AgencyAnalytics is built for agencies and priced per client, at $20 per client a month billed yearly. It includes unlimited staff and client users, dashboards, and scheduled reports. Rank tracking and AI tracking are paid add-ons. It’s strong for agencies reporting on ads and social next to SEO, and it doesn’t track hours or profit.
Whatagraph
Whatagraph sells cross-channel reporting to larger teams. Its Max plan starts at €699 a month, billed yearly, with unlimited users and reports. The price puts it out of reach for most agencies under 20 clients. It reports on the work, and it doesn’t plan or track it.
Databox
Databox is a business dashboard tool with an Agency plan from $79 a month, billed yearly. Each client pack adds $20 a month, and the plan includes unlimited users. It’s flexible and general, so an SEO agency builds its own report layouts. Like the others, it has no view of hours or profit per client.
What Project Management Software Do SEO Agencies Use?
Most SEO agencies manage delivery in ClickUp, monday.com, or Teamwork, and all three charge per user. ClickUp Unlimited is $7 per user a month billed yearly, with time tracking included. The catch is setup, since you build the service tiers, monthly deliverables, and topical map tracking yourself.
A general project tool does whatever you configure it to do. The cost is your time, since an owner spends weekends building templates for packages and recurring work. Lumea’s SEO project management comes with service tiers and monthly deliverables built in.
ClickUp
ClickUp’s Unlimited plan is $7 per user a month billed yearly, or $10 billed monthly. Native time tracking starts on Unlimited, not on the free plan. Agencies like its flexibility and its low entry price. You’ll build the SEO structure by hand. Profit per client still means a spreadsheet export.
monday.com
monday.com’s Pro plan is $19 per seat a month, billed yearly. It’s the first Work Management plan with time tracking built in. Plans come in seat bundles, so check the smallest bundle on its pricing page. It’s polished and easy for non-technical teams, with no SEO setup built in.
Teamwork
Teamwork sells project management for client work. Basics is $9.99 per user a month billed yearly, and Accelerate is $24.99. Both come with a 14-day free trial and no card. It’s closer to agency work than ClickUp, though SEO packages and topical maps still need setting up by hand.
Which Software Shows Profit Per Client?
Lumea Direct, Productive, and Workspace369 all show profit or margin per client. Lumea is priced by client count from $143 a month, with unlimited seats, and built around monthly SEO work. Productive and Workspace369 serve agencies and service businesses in general, and they charge by user or seat.
Lumea’s agency time tracking ties every hour to a client, and one formula turns those hours into profit. Take the monthly fee plus one-time fees, then subtract client costs and the cost of logged time. Salaried time counts at annual salary divided by 2,080 hours, so a $52,000 salary costs $25 an hour. In Lumea, open Reports, then the Team tab, and read the Client profit column.
Here’s what it shows, with example data from the Northline Digital demo agency. Bayside Chiropractic and Miller Physical Therapy both pay $1,200 a month. Bayside took 30.8 hours and left $521 in client profit. Miller took 7 hours and left $1,027, or $171 an hour against Bayside’s $39.

Productive
Productive is built for “agencies, consultancies, and other professional services businesses.” It covers budgets, resource planning, and time tracking, priced per user. Deeper profit reports sit on its higher plans. It fits a design or creative agency well. It has no topical maps, SEO service tiers, or Search Console reports.
Workspace369
Workspace369 is a client-work system for any service business. It covers CRM, proposals, invoices, payments, and time tracking. From its $149 plan, it reports profit by customer. It charges by seat, with 5 included and $15 for each extra. Like Productive, it has nothing built for monthly SEO work.
How Much Does SEO Agency Software Cost at 8 Clients?
A typical stack for an 8-client agency with 4 people costs about $305 a month, billed yearly. It’s Semrush SEO at $117.33, AgencyAnalytics at $160, and ClickUp Unlimited at $28. Profit per client still lives in a spreadsheet. Lumea Growth covers delivery, reports, and profit for $242 a month, or about $194 yearly.
| Tool and plan | Job | Price on its own page | Priced by |
| Semrush SEO, $139/mo | Research, rank | $139 monthly, $117.33 billed yearly | Account |
| Ahrefs Lite, $129/mo | Research, rank | $129 monthly | Account |
| AgencyAnalytics, $20 per client | Reporting | $20 per client a month, billed yearly | Client |
| Whatagraph Max, from €699/mo | Reporting | From €699 a month, billed yearly | Plan |
| Databox Agency, from $79/mo | Reporting | From $79 a month billed yearly, plus $20 per client pack | Client packs |
| ClickUp Unlimited, $7 per user | Delivery, time | $7 per user billed yearly, $10 monthly | User |

| Productive Essential, $9 per user | Delivery, time, profit | $9 per user billed yearly, $10 monthly | User |
| Workspace369 Specialist, $149/mo | Operations, margin | $149 monthly for 5 seats, $119.25 billed yearly, $15 per extra seat | Seat |
| Lumea Direct Growth, $242/mo | Delivery, time, reports, profit | $242 a month for 4 to 8 clients, about $194 billed yearly | Client count |

Lumea doesn’t replace your research tool, so Semrush stays. For an agency reporting only on SEO, it replaces the reporting tool, the project tool, and the profit spreadsheet. In this stack, those cost about $188 a month billed yearly. Growth costs about the same, and it adds profit per client next to the month’s work. See every plan on the Lumea Direct pricing page.
Who Is Lumea Direct For?
Lumea Direct is for SEO agencies on monthly retainers, from 1 client to 9 or more. Starter covers up to 3 clients for $143 a month. Growth covers 4 to 8 for $242, and Unlimited covers 9 or more for $494. Every plan includes unlimited seats. A business doing its own SEO uses Solo at $98.
It fits best when one account holds the whole month. Your team plans the deliverables, logs the hours, and sends the report in the same place. A new writer or a part-time VA never raises your bill. So profit per client shows up as the work gets done, with no spreadsheet at the end of the month.

How Do You Choose SEO Agency Software?
Choose SEO agency software by checking how it charges, what it tracks, and what it leaves in a spreadsheet. Six questions sort most options in under an hour, and the biggest one is profit per client. Run every tool you’re considering through these:
- How does it charge? Per user, per seat, per client, or by client count. Per-user pricing grows with every hire.
- Does it fit the monthly SEO model? Recurring deliverables by service tier, not one-off projects.
- Are hours tied to clients? Time tracking without a client on each entry can’t show profit.
- Can it show profit per client? Fees minus client costs minus the cost of logged time, salaried staff included.
- Can clients see results? A client-facing report or login, with real Search Console data.
- Can you bring your data in? Spreadsheet import for clients, prospects, and topical maps.
Test the question you care about most with one real client during a free trial. Most tools here offer 14 days free, including Lumea, AgencyAnalytics, and Teamwork. By the end of week one, you’ll know if a tool shows you what you’re missing.
Run the Agency Around the Rankings
Michael Gleed built Lumea Direct inside his own SEO agency. For years, his client facts sat across Drive, Docs, and Sheets. Now the agency runs on Lumea every day. It covers what no ranking tool does: where each client stands, where the hours went, and which clients make money.
Start your 14-day free trial with no card and no sales call. Not ready yet? Run your top 3 clients through the free Client Profit Calculator first. The payoff is knowing which clients to raise, keep, or drop, instead of guessing from the fee.
Questions About SEO Agency Software
What is the best SEO software?
The best SEO software for most agencies is one paid research tool on top of Google’s free data. Semrush and Ahrefs are the usual picks. Start every client in Google Search Console, which shows the queries, clicks, and positions Google records. Add paid tools once a retainer pays for them.
Is SEO still worth it in 2026?
Yes. Google says its AI search features run on the same ranking systems as regular search. Its generative AI guide says SEO best practices “continue to be relevant.” Agencies doing the work every month, and proving it, still win clients.
Can I run an SEO agency on spreadsheets?
You can run 2 or 3 clients on spreadsheets, and most agencies start there. The trouble starts when hours, deliverables, and fees live in separate files. The SBA’s guide to managing your business suggests comparing each part of a business on its own. With separate spreadsheets, profit per client takes hours to find.
Is there free SEO agency software?
Yes, a few free tools cover the basics. Google Search Console covers search data, and Google offers Google Analytics free of charge for site data. ClickUp and monday.com have free plans with limits. Money tracking and client reports usually need a paid tool.
Do I need a CRM for an SEO agency?
You need one place for every prospect, client, contact, and follow-up, whatever you call it. The Oregon Small Business Development Center Network says a CRM puts day-to-day business functions in one place. For an SEO agency, the pipeline should connect to the client record once they sign.
